This Privacy Policy explains how UAB Trainow collects, uses, stores and shares personal information when you use the Trainow mobile application, website, booking platform or related services.

2. What Trainow does
Trainow is a technology platform that allows users to discover, book and pay for sports coaching, personal training, fitness sessions and related services provided by independent third-party coaches.
Trainow does not itself provide coaching, personal training, medical advice or healthcare services. Coaches are independent third-party providers.
3. Who this Privacy Policy applies to
This Privacy Policy applies to: (1) users who create an account or book sessions; (2) parents or guardians booking sessions for children; (3) children whose information is provided by a parent or guardian; (4) coaches applying to join Trainow; (5) approved coaches using Trainow; (6) people who contact Trainow for support, complaints or enquiries; (7) visitors to our website or app
Children cannot create their own Trainow account. Children may only use Trainow services where a parent or legal guardian books on their behalf.
4. Personal information we collect
We may collect:
Account information — name, email, phone, password, profile photo, date of birth, account type and preferences.
Booking information — selected coach, sport, date, time, duration, status, cancellations, messages, payment status and refund information.
Location and address information — approximate location, session address, postcode, location notes, access instructions and preferred training area.
Payment information — processed through Stripe: payment amount, status, transaction reference, refund status and last four digits of card. We do not store full card numbers.
Health and fitness information — fitness level, injuries, medical conditions, pregnancy status, allergies, mobility restrictions, medication relevant to exercise, emergency information and training goals.
Children's information — provided by parents or guardians: child's name, age, sport, relevant health or safeguarding information, session location and booking details.
Coach application and verification information — qualifications, insurance documents, safeguarding certificates, DBS check information, identification documents, bank and payout information and Stripe Connect account information.
Technical information — IP address, device type, operating system, app version, login times, usage data, crash reports and approximate location.
5. How we collect personal information
We collect personal information: directly from you when you create an account, make a booking, complete a profile or contact us; from parents or guardians booking on behalf of children; from coaches applying to join Trainow; from Stripe and other payment providers; from identity and document verification providers; from app analytics and device tools; and from authorities or safeguarding bodies where necessary.
6. How we use personal information
We use personal information to: create and manage accounts; allow users to browse and book coaches; process payments, refunds and payouts; connect users with coaches; verify coach identity, qualifications, insurance and safeguarding documents; manage bookings, cancellations and refunds; provide customer support; handle complaints and disputes; protect users, children and coaches; investigate safety concerns, fraud or misconduct; improve the app and user experience; send service messages and booking confirmations; send marketing where permitted; comply with legal and regulatory obligations; enforce our Terms and Conditions; and defend or bring legal claims.
7. Lawful bases for using personal information
We use personal information only where we have a lawful basis:
Contract — where necessary to provide the Trainow platform, manage your account and process bookings.
Legitimate interests — for fraud prevention, platform safety, app improvement, analytics, coach verification and dispute handling, where your rights do not override those interests.
Legal obligation — where necessary to comply with legal, tax, accounting, safeguarding or regulatory obligations.
Consent — for optional marketing, certain cookies, push notifications and optional health information. You can withdraw consent at any time.
Vital interests — in rare emergency situations to protect someone's life or safety.
8. Special category data
Some information we collect may be special category data under data protection law, including health information, injury information, pregnancy information or information about physical or mental health.
We will only process special category data where we have a lawful basis and an additional condition, such as explicit consent, protecting vital interests, establishing legal claims or substantial public interest reasons.
You should only provide health information that is relevant to the safety and suitability of a session.
9. Children's privacy
Trainow takes children's privacy seriously. Children cannot create their own Trainow account. A parent or legal guardian must create the account and make any booking for a child.
Where we process children's information, we: collect only what is necessary; use children's data only for safe booking and service delivery; restrict access to children's information; share information with coaches only where needed for the session; and take safeguarding concerns seriously.
Parents and guardians are responsible for ensuring they have authority to provide a child's personal information to Trainow.
10. Coach verification and DBS information
Trainow may review coach documents before approving them, including identity documents, sports qualifications, insurance documents, safeguarding certificates and DBS checks where relevant for children's coaching.
Where a coach is shown as verified, certified, insured or DBS checked, this means Trainow has reviewed information provided by the coach as part of our approval process.
We will not publish unnecessary sensitive details from DBS checks or identity documents
11. Sharing personal information
We may share personal information with:
Coaches — booking details, session location, relevant health or fitness information and contact information where needed for the session.
Payment providers — Stripe processes payments, refunds and coach payouts in accordance with its own privacy policy.
Technology providers — trusted providers who help us run Trainow, including hosting, cloud storage, analytics, email, push notifications and customer support.
Verification providers — identity, document, DBS and safeguarding verification providers where needed.
Professional advisers — lawyers, accountants, auditors, insurers and banks where necessary.
Authorities and safeguarding bodies — where required or appropriate by law.
Business transfers — if Trainow is involved in a merger, acquisition or sale of assets, subject to appropriate protections.
We do not sell your personal information to third parties
12. International transfers
Trainow is operated by UAB Trainow in Lithuania and may process personal information in the United Kingdom, the European Economic Area and other countries where our service providers operate. Where personal information is transferred outside the UK or EEA, we will use appropriate safeguards such as adequacy regulations, standard contractual clauses or the UK International Data Transfer Agreement.
13. How long we keep personal information
We keep personal information only for as long as necessary:
Account information — kept while your account is active.
Booking records — kept for legal, tax, dispute and safety reasons.
Payment records — kept for accounting and tax purposes.
Coach verification records — kept while the coach is active and for a reasonable period afterwards.
DBS and sensitive documents — kept only as long as necessary and where lawful.
Marketing data — kept until you unsubscribe or withdraw consent.
Technical logs — kept for a limited period unless needed for security or fraud investigations.
We may keep some information after account closure where necessary for legal, safety, safeguarding, fraud prevention or dispute resolution reasons.
14. Marketing
We may send you marketing messages about Trainow services, offers, updates and promotions where permitted by law.
You can opt out at any time by clicking the unsubscribe link in marketing emails, changing your app settings, or contacting us at info@trainow.app.
Even if you opt out of marketing, we may still send service messages such as booking confirmations, payment receipts, safety notices and account updates.
15. Push notifications
If you allow push notifications, we may send messages about bookings, coach updates, reminders, cancellations, app features and safety notices.
You can manage push notifications through your device settings or app settings.
16. Security
We use appropriate technical and organisational measures to protect personal information, including access controls, encryption where appropriate, secure cloud services, password protection, staff access restrictions, payment provider security, audit logs and data minimisation.
No system is completely secure. You are responsible for keeping your account login details confidential and telling us promptly if you believe your account has been compromised.
17. Your data protection rights
Depending on your location, you may have the right to: access your personal information; correct inaccurate personal information; request deletion; restrict how we use it; object to certain uses; request transfer; withdraw consent; and complain to a data protection authority.

Some rights are not absolute — we may need to keep certain information for legal, tax, safety, safeguarding or fraud prevention reasons.
18. Parents' and guardians' rights
If you are a parent or guardian and you have provided information about a child, you may contact us to access, correct or request deletion of that child's information, subject to legal and safeguarding requirements.
We may refuse deletion where we need to keep information for safeguarding, legal claims, safety investigations or legal obligations.

20. Automated decision-making
Trainow may use automated tools to support app functionality, fraud prevention, recommendations, search ranking, safety checks, coach discovery and personalisation.
We do not intend to make solely automated decisions that have a legal or similarly significant effect on you without appropriate safeguards. If this changes, we will update this Privacy Policy.
21. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the app, website, email or another appropriate method.
The latest version will always apply from the date shown at the top of this Privacy Policy.
